End of Semester tasks and information
for faculty and staff

The end of a semester or school year is a good time to think about cleaning up your data files and  email. Please take some time to do some maintenance in your courses area, department and home drives, and email. Regularly removing unwanted files and email is essential to keeping our network resources available for everyone.

Courses area cleanup

If you use the Courses area, please remember that this area is only for the uses listed below. Please move any files there for any other reasons to another location.

* for you to store materials that students can access
* for students to upload class assignments

Delete or archive files and folders that you no longer need in this area. This is a great time to remove files from a previous semester if they will not be used in the next semester. If you may need the files again, you can move them to another location. If your computer is equipped with a CD/DVD burner, burning a CD or DVD may be the most convenient way to archive the files. A zip drive may also be used. If you want to archive to CD or DVD and don’t have a burner, please request help from IT Services. We can archive the files to CDs or DVDs for you for a nominal charge to your dept.

If students have placed files in your courses area, these also must be archived or deleted to make room for the data from next semester.

Department and Home drives

Please also clean up files which are no longer needed in your dept area (G drive on FalconFile) and in your H drive or personal folder on FalconFile.  Again if you would like to archive any files on CD or DVD, we would be happy to help you.

Email

Please delete any unwanted email and empty your trash mailbox. Email also builds up in the “sent” folder and you should periodically delete items from there.  If you are on any mailing lists that you will not be reading for awhile, consider unsubscribing or temporarily turning off mail delivery from these lists to prevent your email from building up.

Check the bottom of messages from your mailing list for instructions on unsubscribing or contact us for information on unsubscribing from UWRF mailing lists.
